Privacy Policy

Last updated: November 18, 2025

Overview

FilterHawk ("we", "us", or "our") respects your privacy. This policy explains how we collect, use, and protect your information when you use our email workflow service.

Information We Collect

Account Information: When you sign up, we collect your email address and basic Google account information through OAuth authentication.

Email Metadata: We process email metadata (sender, subject, date, labels) to power our filtering workflows and provide audit trails. We do not store the full content of your emails.

Usage Data: We collect information about how you use FilterHawk, including workflows created, filters applied, and feature usage.

How We Use Your Information

We use your information to:

  • Provide and maintain the FilterHawk service
  • Process your emails according to your configured workflows
  • Show you audit trails of filtering actions
  • Improve and optimize our service
  • Communicate with you about your account and updates

Data Security

We use industry-standard security measures to protect your data:

  • OAuth 2.0 for secure Google authentication
  • Encryption in transit (HTTPS/TLS)
  • Encryption at rest for stored data
  • Regular security audits and updates

Data Sharing

We do not sell, rent, or share your personal information or email data with third parties, except:

  • With your explicit consent
  • To comply with legal obligations
  • With service providers who assist in operating our service (under strict confidentiality agreements)

Your Rights

You have the right to:

  • Access your data
  • Correct inaccurate data
  • Request deletion of your data
  • Revoke FilterHawk's access to your Gmail account at any time
  • Export your workflow configurations

Data Retention

We retain your data for as long as your account is active. When you delete your account, we will delete your personal information and email metadata within 30 days, except where required by law.

Automatic Data Purging: Every account automatically purges all email records and processing logs on a rolling basis. Records older than your configured retention period are permanently deleted. You control your data retention window in your account settings, choosing to purge records anywhere from 1 hour old up to 365 days old. This gives you full control over how long your email metadata and audit trail history are stored.

We may update this privacy policy from time to time. We will notify you of any material changes by email or through the FilterHawk service.
